1. Scope of This Policy

It does not cover information held by third parties that we do not control, nor does it cover anonymous business data that cannot be linked to a living individual. Where a separate written agreement between you and the Company sets out additional privacy commitments, that agreement applies alongside this policy.

2. Information We Collect

We collect only the information we need to trade, to ship, and to answer your enquiries. The categories are as follows.

Contact and identity data

Your name, company name, job title, business email address, telephone number, and postal address. When you place an order we may also record a delivery address, a customs contact, and the name of the person who signs for the goods at the destination. If you use a company account, we may record the name of the colleague who placed the order on your behalf.

Transaction data

Purchase order numbers, product descriptions, quantities, agreed prices, invoice details, payment references, shipping instructions, and any correspondence about a consignment. We record the agreed specification, the approved sample, and the inspection result so that a later order can be weighed against the same standard. We do not store full payment card numbers on this website.

Technical data

Internet protocol address, browser type and version, device type, pages viewed on this site, and the time of your visit. This data is used to keep the site working and secure, to diagnose faults, and to protect against automated abuse. It is not used to identify you personally unless a security incident requires it.

Communication data

Emails, call notes, and messages that pass between you and our export desk. We keep a record of a customer instruction so that we can prove what was agreed if a question arises later during inspection or freight. This is a normal part of running a trading house with accountability.

Sensitive data

We do not seek sensitive personal data such as health details, political opinions, or religious beliefs, and we ask that you do not send such information to us through this website or by email. If you do send it, we will delete it once we notice it.

2A. Data Minimisation and Accuracy

We follow a simple rule on the weighing bench: take only what the order needs. When a document asks for a field we do not require, we leave it out rather than collect it for no reason. This habit reduces risk for you and for us, and it keeps our records clean.

Please help us keep your information accurate. If your address, contact person, or company details change, tell us and we will update the record. Accurate data means fewer delays at customs, fewer misdelivered parcels, and a faster reply when you need support. If you see an error in a document we have issued, point it out before the consignment moves and we will correct it promptly.

3. How We Collect Information

Most of the information we hold comes directly from you. You give it to us when you complete the contact form, when you send an email to info@lalavostrade.lat, when you call +13466962725, or when you sign and return a purchase order or shipping instruction.

We also receive information indirectly from freight forwarders, customs brokers, inspection agencies, and payment providers who act on our instruction or yours. For example, a broker may confirm the delivery address that we must print on a bill of lading.

Finally, a small amount of technical data is collected automatically by the servers that host this website and by the browser you use to reach it. We use that data in aggregate to understand which pages are read and to protect the site against misuse.

4. Why We Use Your Information

We use personal information for the following purposes.

Where we use data for a purpose that is not listed here, we will tell you and, where required, ask for your consent before we begin. We do not process personal information for automated decision making that produces a legal effect about you, and we do not build advertising profiles from your data.

We also use transaction information in an aggregated, anonymous form to see how our six working lines perform across a season. This helps us decide where to open a new supplier relationship or where to strengthen an existing one, and it never identifies an individual buyer.

6. How We Share Information

We do not sell personal information. We share it only where there is a clear business or legal need.

Where we share data with a service provider, we limit it to what the task requires and ask the provider to protect it and to use it only for that task.

8. How Long We Keep Information

As a guide, order and shipping records are kept for seven years to satisfy tax and customs duties, enquiry correspondence is kept for two years, and technical server logs are kept for twelve months.

When a retention period ends we delete the data securely or, where deletion is not immediately possible, we isolate it so that it is no longer used for any active purpose. We review our retention schedule each year to ensure it remains appropriate.

9. How We Protect Information

We use administrative, technical, and physical safeguards to protect personal information. These include restricting access to staff who need the data to do their work, using password protected devices and services, keeping paper records in a locked cabinet at our Mong Kok office, and requiring suppliers and partners to handle data responsibly.

Access to our order system is granted by role. A colleague in freight coordination sees the shipment details but not the accounting ledger, while an accountant sees the invoice but not the production sample. When a colleague leaves the Company, access is removed on the last working day. We back up our records so that a failed device does not destroy a customer order, and we test that the backups can be restored.

No method of transmission or storage is perfectly secure, so we cannot promise absolute security. If a breach occurs that is likely to harm you, we will notify you and the relevant authority as required by applicable law, and we will act quickly to limit the damage. We will also review what went wrong and strengthen the relevant control so that the same weakness cannot be used twice.

10. Cookies and Similar Technologies

This website uses a small number of cookies and similar technologies to keep the site working and secure. Essential cookies allow the site to load correctly and to remember your session. Analytics cookies, where used, record visit numbers and pages in aggregate so that we can improve the layout and content.

You can control cookies through your browser settings. Blocking essential cookies may prevent parts of the site from working. We do not use cookies to build advertising profiles, and we do not allow third party advertising networks to track you across this website.

11. Marketing Communications

We may send you occasional updates about our export lines, new seasons, or changes to our services if you have asked to receive them or if we have an existing trading relationship and the message relates to similar goods. Every marketing message includes a simple way to opt out.

We do not rent, sell, or trade your contact details to any other company for their own marketing. If you opt out, you will still receive messages that are strictly necessary to complete an order you have placed.

12. Your Privacy Rights

Subject to local law, you have the right to ask whether we hold personal information about you and to obtain a copy. You may also ask us to correct inaccurate data, to delete data that we no longer need, to restrict how we use it, or to object to certain processing.

Where we rely on consent, you may withdraw it at any time. Where we process data to perform a contract, you may ask for a portable copy in a common format. We will respond within the time allowed by law, usually within forty days, and we will explain any lawful reason for refusing a request.

14. Privacy for Children

Our services are meant for businesses and adults. This website is not directed at children, and we do not knowingly collect personal information from anyone under the age of sixteen. If you believe that a child has sent us personal information, please contact us and we will delete it promptly.

We may use simple rules to sort enquiries by product line or to flag an unusually large order for a second look, but a person remains accountable for the outcome.

If in future we adopt a tool that makes a significant automated decision, we will tell you, explain the logic in plain terms, and give you a way to ask for human review. We would only take that step where the tool improved the service and the law permitted it.

18. AI Tools and Data Handling

Our team may use office software that includes language or translation assistance to draft routine replies and to translate a specification note. When such a tool is used, we do not paste sensitive contract terms, payment details, or personal identifiers into it. The final message and the final decision remain with our staff, who check the output before it leaves the bench.

We do not sell your data to any party for the purpose of training a third party model. If a service provider changes its terms in a way that would affect your information, we review the arrangement and, where needed, move to a service with comparable safeguards.
